    Minutes Approval

    There were no amendments to the previous meeting notes or to the agenda.


    Review of SSPBT Charge & Membership

    The SSPBT Charge and Membership were reviewed and Mieso noted that we are still going through the shared governance review process. They are currently working through the implementation of the committee’s proposal for the new shared governance structure and by winter quarter, we may be transitioning into a different structure. There are a couple vacancies that haven’t been filled but overall the membership is well represented so we will continue as it is.

    Accreditation Review and Process

    Mallory Newell gave a presentation about the accreditation process and timeline. LeBleu-Burns will be the writing team lead for SSPBT and a webpage has been set up that has the timelines, all of the standards and the process for completing the Institutional Self Evaluation Report (ISER). Some of the key deadlines are provided below:

    • This Year:
      • December 1, 2022: First drafts due from the writing teams
      • June 2023: Combined drafts are shared
    • 2023-2024:
      • October 2023: Collegewide feedback on the edited draft
      • November 2023: Final draft to the Board of Trustees
      • December 15, 2023: Final document submitted to the commission
      • Spring 2024: Evaluation Team review and findings
    • 2024-2025:
      • Fall 2024: College response to Evaluation Team findings
      • Fall 2024: Evaluation Team Visit to the campus

    The inquiries will be done ahead of time so when the accreditation team does come for the site visit, it will be much shorter. If you have any questions feel free to contact Mallory Newell.

    LeBleu-Burns commented that a survey has gone out to various areas in Student Services to start compiling information for our section of the Institutional Self-Evaluation Report for accreditation, Standard IIC. The first draft deadline is December 1, 2022.

    Basic Needs Survey Results

    The survey went out in the spring 2022 quarter and the purpose was to get a baseline for the Educational Master Plan. The infographic shows the current needs of our students and they are similar to previous years.

    • 67% of respondents (328) experienced at least one form of basic needs or mental health barrier in the past year.

    LeBleu-Burns thanked Newall for the data provided in this survey and other surveys that are done by her office throughout the year. The data assists Student Services in addressing the needs of the students by guiding the programs and the funding that is needed in these areas.

    Galoyan also thanked Newall for the information since she oversees the Basic Needs funds from the state and this data shows that more connections with community resources are needed.

    Mieso also commented that while there is statewide data available, this data is specific to our college. The state has seen this need and has provided ongoing Basic Needs funds that provide more stability to the programs we provide. We are currently providing food assistance with the Food Pantry on campus, the Mobile Food Pantry, grocery gift cards to purchase food and satellite programs that are now available to students as well. Housing assistance is provided through a partnership with West Valley Community Services and with the City of Cupertino. HEERF funds are still available this year that also allows us to continue to provide emergency funds to students through our Financial Aid office.

    CAS Standards Update

    The new deadline to finish everyone’s CAS Program Report will be Friday, December 16th.

    Member and Program Updates
    • Glapion reported on Academic Senate: they went over some key state resolutions such as degree pathways and common course numbering, some discussion took place regarding the PAC and the transition, and they had a presentation on the new Early Alert program that is now called CONNECT.

    • Yi-Baker reported on DASG and a new proposal they are writing to permit students to ride bikes and roller skate on the campus. They are also looking to change the structure of DASG. The purpose of this change would be a more sustainable organization and to be more effective, optimizing every position.

    • Chacko reported on Classified Senate and they are looking for new members to participate and be leaders in the Classified Senate.

    • Bostick reported on ACE and they have been working on the upcoming negotiations, the COLA repayment and the adjustments that are coming up. They have also been discussing communications, surveys and policies regarding COVID and the college. Moving forward, there will be voting on labor practices.

    • Balducci reported that this year they are going to “train the trainer” to train counselors in other areas on campus to be more proficient in transfer and TAG transfer agreements. This will be to assist with any information gaps that are happening on campus and was addressed in a recent survey regarding certain populations of students.

    • Galoyan reported on the Veteran Day celebration coming up on Tuesday, November 8th and the flyer provided has all the information for this event. Enrollment Services is preparing for winter registration and the dates are already posted. On December 1st we will be moving to a new registration system, SSB9, and they are working with ETS to provide step by step guides and with Communications to spread the word to students.

    • LeBleu-Burns reported that EOPS winter registration is open until November 18th and they are still accepting applications. She also wanted to remind everyone that we have TimelyCare available to students that is available 24/7 for mental health support. The TimelyCare flyer is available with more information.
      • Glapion asked about the “3 minute” wait for TimelyCare. LeBleu-Burns responded that after the student registers, someone will be on the line in 3 minutes to speak with them. They can have 12 scheduled visits with Timely Care and they also can have 10 visits with De Anza Psychological Services as well.

    • Mandy reported on Financial Aid and they are finishing up their audit and are distributing emergency funds. A mass awarding will likely go out to Pell grant eligible students before Thanksgiving.
